Privacy

What we do with what you send us.

Short version: if you fill in the form, we read it and reply to you. We do not sell it, we do not add you to a list, and we do not feed it to an AI model. The rest of this page is the same thing said properly.

Who we are

SCOPE SEARCH SOLUTIONS LTD ("we", "us") is the data controller for personal data collected through this website. We are registered in England and Wales, company number 16624091, with our registered office at 4 Charlcombe Rise, Portishead, Bristol, England, BS20 8NB.

What we collect, and when

If you fill in the contact form we collect your name, email address, phone number, company name, which part of your business you are asking about and the message you type, plus which page you submitted it from. Nothing else on this site asks you for personal data.

If you email us directly, we hold that email and whatever you chose to put in it.

This site sets no cookies of its own and uses no advertising or tracking cookies. The videos on our examples page play through YouTube's privacy-enhanced mode, and YouTube may set cookies once you press play.

Why we hold it, and on what basis

We use what you send us to reply to you, including a phone call to the number you give us to book your free process review, to run that session if you want one, and to follow up about work you have asked us to quote for. We do not sell it, and we do not add you to a marketing list you did not ask to join.

The lawful basis is legitimate interests: you contacted a business to ask about its services, and answering you is the obvious and expected result. Where an enquiry turns into an engagement, the basis becomes performance of a contract.

Who else sees it

The contact form is processed by n8n, our automation service, which emails the enquiry to us and sends you a confirmation. Our email and document tools (Google Workspace) hold it while we read and answer it. Each of these providers handles it only to do that job for us.

We do not pass enquiries to third-party marketing platforms, data brokers or lead-generation services. If a supplier ever needs access to do a specific job for us, they are bound to use it only for that job.

The contact form is protected by Cloudflare Turnstile, which checks that a person, not a bot, is sending it. To do that, Cloudflare sees your IP address and browser details when the contact page loads. It uses them to tell people from bots and to improve that check, as set out in its Turnstile privacy addendum.

Your enquiry is not used to train any AI model.

Like any website, the service that hosts this site, Cloudflare, sees your device's IP address when you visit. It uses it only to deliver the page.

Where it is held, and for how long

Our providers may process data outside the UK. Where they do, the transfer relies on the safeguards those providers have in place, such as the UK addendum to the EU standard contractual clauses.

We keep enquiries that do not become work for up to two years, so that we have context if you come back to us, and then delete them. Records relating to actual engagements are kept for as long as the contract and our accounting and tax obligations require.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, or object to us holding it at all. Email us and we will deal with it within one month.

If you are not satisfied with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
