
Writing up meeting actions is the job that slips first. AI is very good at it, provided you ask for exactly what you need.
The instruction
From the meeting notes below, list:
- Decisions made.
- Actions, each with an owner and a due date.
- Open questions nobody answered. Use only what is in the notes. If an action has no owner or date, mark it “not agreed” rather than guessing.
Paste your notes or the transcript underneath, then check the result before you send it.
Why it works
It asks for a fixed structure, it limits the AI to your notes, and it makes gaps visible. “Not agreed” is often the most useful line on the page.
If you record or transcribe meetings
Microsoft Teams, Google Meet and other tools can transcribe meetings for you. The ICO’s advice is that you can usually rely on the same lawful basis you already use for meeting records, but you should update your privacy notice so people know transcription happens. Tell attendees at the start, too.
Make it a habit
Save the instruction somewhere the whole team can find it, and use it after every client call. The same structure every time makes follow-up far easier to track.
