Five signs a task is ready to automate

Not every job should be handed to AI. These five signs show which ones will pay back first.

The most common reason small firms give for not using AI is that they cannot see where it would help. In the government’s 2026 survey of UK businesses, 71% of firms not using AI said they had no identified need. The need is usually there. It is just hidden inside routine admin.

These five signs point to the tasks that pay back fastest.

1. You do it the same way every time

If the steps would fit on a sticky note, a system can follow them. Weekly reports, onboarding packs and status updates are the usual suspects.

2. The information already exists

The slow part is rarely the thinking. It is finding the figures in one tool, the notes in another and the latest version of a document. When the inputs exist, a system can gather them.

3. Someone copies and pastes between tools

Email into a spreadsheet, spreadsheet into a report. It is slow, and it is where mistakes creep in.

4. Errors are found by clients, not by you

If problems only surface after something has gone out, the task needs a check built in. A good system drafts the work and flags what is missing before anyone sends it.

5. One person is the only one who knows how

When a task lives in one person’s head, it stops when they are off. Turning it into a workflow protects the business as well as saving time.

List the tasks your team did last week. Score each one against the five signs. The one with the highest score that happens most often is your first candidate.
